How to Appear Offline on Teams (Step by Step)
- Click your profile picture in the top-right corner of Microsoft Teams.
- Click your current status text, shown just under your name.
- Select Appear Offline from the list of status options. Your icon changes to a grey circle.
- Or skip the menu entirely: type /offline into the command box at the top of Teams and press Enter.
That's the whole process — there's no separate settings page, no admin toggle to hunt for. Appear Offline sits in the same status list as Available, Busy, Do Not Disturb, and Be Right Back, right at the bottom.
What Appear Offline Actually Does (and Doesn't Do)
The single most common misunderstanding about Appear Offline is that it behaves like actually signing out. It doesn't. It only changes the colour of the dot other people see — everything on your side of the screen keeps working exactly as normal.

In short: Appear Offline is a one-way signal you send to other people. It's not a privacy mode that hides your activity from Teams itself, and it doesn't stop the app from working for you.
Does It Wear Off? Appear Offline "After Hours" and Duration
Appear Offline doesn't have a timer. Once you set it, it holds — through the evening, overnight, into the next morning — until you manually pick a different status or you sign out and back in, at which point Teams reverts to its normal automatic behaviour (Available when active, Away after a few minutes idle).
That's different from Teams' automatic Away-to-Offline drift, where being disconnected or signed out for an extended period can eventually show as Offline on its own, with no one having chosen it. If you specifically want your status to expire after a set window rather than sit indefinitely, set a duration from the same status menu (the clock icon next to the status list) rather than relying on Appear Offline to time out by itself — it won't.
Can You Appear Offline to Just One Person?
No. Appear Offline is all-or-nothing — it applies to your entire organisation at once. There's no built-in way to show as offline to one specific colleague while staying visibly Available to everyone else; Teams doesn't offer per-person presence rules.
The closest practical workaround is muting or hiding that person's conversation so their messages don't interrupt you, while leaving your actual status untouched. Your presence dot and your notification preferences are two separate controls, and only the dot is affected by Appear Offline.
Will Your Manager or IT Admin Know You're "Really" Online?
Appear Offline itself is invisible to scrutiny at the presence level — Teams doesn't flag "this person manually set Appear Offline" anywhere a manager can see. What can still surface your activity are message-level signals that are separate from presence entirely: read receipts, the typing indicator, and message timestamps all keep working regardless of your status.

Appear Offline vs Appear Away — Which Should You Use?
Appear Away sets the yellow clock icon and still tells people you exist, just not at your desk right now — it's a softer signal that keeps you approachable. Appear Offline is the strongest option available to an individual user: it looks like you've left Teams entirely, which is more likely to stop people messaging you in the first place rather than just messaging you and expecting a delay.
